Jobsheet Privacy Policy

This policy explains what information Jobsheet ("Jobsheet", "we", "us") collects when you use Jobsheet at jobsheetai.com (the "Service"), why we collect it, who we share it with, and the choices you have. Jobsheet is operated by Peter Krasznekewicz, an individual.

The short version: we collect what we need to build your job sheets and run your account. We don't sell your data and we don't show ads. We use cookieless analytics from our hosting provider to count visits, and we don't use advertising trackers.

What we collect

Information you give us

  • Account details. Your email address and a password. Passwords are stored as a salted hash by our authentication provider, and we never see them in plain text. If you sign in with Google, we receive your name, email address and profile picture from Google.
  • Profile and preferences. Display name, country, currency, and the preferences you set, such as preferred and avoided brands and vendors, tools you already own, quality preference, and any notes.
  • Your garage. The vehicles you save: year, make, model, chassis, engine, transmission, VIN, mileage, modifications, nickname and notes.
  • Job sheets and chats. The jobs you describe, the messages you send, and the job sheets, parts lists and procedures the Service generates for you.
  • Feedback. Whether a part fitted, whether you finished a job, and any notes or corrections you send us.
  • Community tips. Tips you post, the display name you choose to show on them (optional), and your votes and reports on other people's tips.
  • Billing. If you subscribe to Pro, payment is handled by Stripe. Stripe collects your card and billing details. We receive and store only a customer ID, your subscription status and renewal dates. We never see or store your full card number.

Information collected automatically

  • Usage records. When you send messages, run research or post tips, we record the event and its time. We also record the cost of the AI and web-search requests made for your jobs. We use these records to enforce plan limits, prevent abuse and control costs.
  • Technical logs. Our hosting provider logs requests to the Service, including IP address, browser type and time, for security and troubleshooting.
  • Analytics. We use Vercel Web Analytics to count visits and see which pages are used. It records the page viewed (without query strings or IDs), the referring site, your country or region, and your device type, operating system and browser. It doesn't use cookies, and it doesn't identify you or track you across other websites: visitors are counted using a temporary hash that is discarded after 24 hours. We don't send it your name, email address, vehicle details or job sheet content.
  • Cookies and local storage. We use browser storage only to keep you signed in and to remember interface settings. We don't use analytics or advertising cookies. See our Cookie Policy for the full list.

How we use it

  • To provide the Service: researching parts, procedures and tools for your vehicle, and building your job sheets.
  • To personalise results using your garage and preferences.
  • To run your account, process payments and send service emails, such as sign-up confirmation and password resets.
  • To understand how the site is used and improve it, using aggregated analytics.
  • To improve research quality for everyone (see "How research is shared between users" below).
  • To moderate community tips, including by automated screening.
  • To enforce usage limits, prevent fraud and abuse, and keep the Service secure.
  • To meet legal obligations.

If you are in the European Economic Area (EEA) or the UK, our legal bases for using your information are: performance of our contract with you (providing the Service and billing); our legitimate interests (improving research quality, understanding how the site is used, security, abuse prevention and moderation); and legal obligation.

How research is shared between users

Jobsheet gets better and cheaper when it can reuse earlier research. When the Service researches a job on a vehicle, the result (parts, procedure, tools and sources) is saved. It may then be used as a starting point when another user asks about the same job on a similar vehicle. Your feedback on whether a part fitted, and your corrections to a job sheet, may also be used to improve results for other users.

What gets reused is the research and the vehicle specification: make, model, chassis, engine and year. Your name, email, VIN and chat history are never shown to other users.

Community tips are different: they are published. Tips you post are visible to other Jobsheet users, along with the vehicle and job they relate to and the display name you choose. If you leave the display name blank, the tip is shown as coming from "an owner".

Who we share it with

We don't sell your personal information or share it for advertising. We share it only with the service providers that run Jobsheet, and only as far as each needs to do its job:

We send data to OpenAI through its API with storage turned off. Under OpenAI's API terms, it doesn't use that data to train its models, though it may keep it for up to 30 days to monitor abuse.

We may also disclose information when the law requires it, to protect the rights and safety of our users or others, or as part of a merger or acquisition. In an acquisition, we would give you notice before your information became subject to a different policy.

International transfers

Our providers may process data in the United States and other countries. If you are in the EEA or UK, we rely on our providers' Standard Contractual Clauses or equivalent safeguards when your data is transferred outside the EEA or UK.

How long we keep it

  • Account, garage, job sheets and chats: until you delete them or delete your account.
  • Billing records: as long as tax and accounting law requires, typically 7 years.
  • Usage and cost records: 24 months.
  • Analytics data: kept by Vercel in aggregated form that isn't linked to you.
  • Hosting logs: according to our hosting provider's retention period, typically days to weeks.
  • Shared research and feedback: may be kept after you delete your account. When you delete your account, we remove its link to you.
  • Community tips: until you or we remove them, or you delete your account.

Your choices and rights

  • Access and correction: you can view and edit your profile, preferences, garage and job sheets in the app.
  • Deletion: you can delete job sheets and vehicles in the app. To delete your whole account, email info@jobsheetai.com. We'll delete your account and personal data within 30 days, except where the law requires us to keep something, such as billing records.
  • Export: email info@jobsheetai.com for a copy of your data.
  • Subscription: you can cancel at any time from the billing page.
  • Analytics: you can opt out of analytics at any time on our Cookie Policy page.

Depending on where you live, you may have further rights under laws such as the GDPR, UK GDPR or US state privacy laws. These can include the right to object to or restrict processing, and the right to complain to your local data protection authority. Contact us to exercise any of them. We won't treat you differently for doing so.

Our site doesn't respond to browser "Do Not Track" signals. We don't track you across other websites, and our analytics don't use cookies or identify you.

Security

We protect your data with encryption in transit, row-level access controls so that each user can reach only their own data, and restricted access to production systems. No system is perfectly secure, so if you believe your account has been compromised, contact us right away.

Children

Jobsheet is not intended for anyone under 18. We don't knowingly collect information from children. If you believe a child has given us information, contact us and we'll delete it.

Changes to this policy

We may update this policy. If we make significant changes, we'll notify you by email or in the app before they take effect. The "Last updated" date above shows when it last changed.
